Onyx Collector

Student Attendance Monitoring System

Onyx Collector is an ideal medium for producing single and cumulative missed attendance reports, for analysing data with third party tools or for exporting to third party systems. For a more advanced analysis package, including a web-based user interface, then the Onyx Advantage module is recommended.

Features:

• Aid to student retention through early identification of course disengagement
• System will assist with Tier 4 sponsorship duties
• Rapid and reliable approach eliminating human error
• Built on Telepen’s 35 years of experience with card reading technologies
• Integrates student and timetabling data from external software products

System Overview
The system is designed to aid student retention through the early identification of course disengagement, and to assist with the institution’s obligations under the UK Borders Agency Regulations.

Student attendance is recorded automatically, rapidly and accurately by presentation of their existing ID card at lectures and other student engagements using fixed and/or portable scanners. This builds a picture of engagement that can identify any students with difficulties while there is still time to act. The system can also be utilised to record other key events like examination attendance or coursework submission to ensure that courses are completed and grades are maintained.

Specifically, the system will assist in reporting the ten consecutive missed points of contact as required under the Tier 4 sponsorship duties.

The system can also provide the proof of attendance required by Student Finance systems and by compulsory attendance courses.

ID card scanning is a rapid and reliable approach that eliminates the human error that is inevitable with manual recording techniques. Onyx Collector operates with fixed and/or portable scanners and is compatible with nearly all existing card formats. The hardware we use is built on Telepen’s 35 years of experience with card reading technologies, and our extensive experience of academic library access control using existing student ID cards.

Data Collection Devices
A range of fixed and portable ID card scanners is available. Fixed readers, such as the TACIM Lite, communicate with the central application through the organisation’s network infrastructure via standard LAN, PoE or WiFi. In the event of a network failure, the units will continue to operate offline, storing attendance data locally then transmitting the data once the network is restored. Biometric readers and portable scanners are also available. Contact us for more information.

System Integration
All events are recorded for future analysis either from within Onyx, externally by directly querying the database, or potentially via your timetabling system. Onyx Collector can integrate student and timetabling data from a variety of different sources including external software products such as Agresso, SITS, Syllabus+ and Celcat. Please ask for further details.

Reports/Output
Onyx Collector compares actual with expected attendences to produce absentee reports, which give details of students who have failed to attend their expected timetabled engagements. Emails can be sent automatically to the tutor or administrator associated with the relevant timetabled engagement as soon as the card scanning time closes.
Reports are also produced with details of students who have reached a specified number of consecutive absences. Emails are again sent automatically and imediately to relevant persons.
